AvidFlow FOIA CMS Featured at NexGen 3.0 Showcase

Hosted by the Technology Committee of the Chief FOIA Officers (CFO) Council, in conjunction with the Department of Justice’s Office of Information Policy (OIP) and the National Archives’ Office of Government Information Services (OGIS), the virtual event highlights advanced technologies designed to streamline federal Freedom of Information Act (FOIA) administration.

Duringthe showcase, the Avid Systems team delivered a live demonstration of AvidFlow FOIA CMS, an enterprise-grade case management solution deployed by agencies to manage the complete lifecycle of information requests while keeping pace with strict statutory timelines.

Unlike traditional third-party software-as-a-service (SaaS) applications that duplicate and silo government data on external infrastructure, AvidFlow utilizes a secure, client-tenant model. It functions as a direct extension of an agency's existing Microsoft 365 Government Community Cloud (GCC) environment.

This native architecture ensures that all responsive records and metadata remain entirely within the agency’s established security and identity boundary. By keeping data inside the existing cloud environment, AvidFlow eliminates content sprawl and allows agencies to seamlessly apply current enterprise information governance controls (such as retention labels, Data Loss Prevention (DLP), and eDiscovery/legal holds) throughout the FOIA lifecycle.

  • Intelligent Parsing. Operating safely inside the agency’s Azure Government boundary, context-aware AI tools extract entities from incoming correspondence, recommend triage values, and generate plain-language administrative case narratives to keep requesters informed.
  • Data-First Relational Redaction Engine. Moving beyond simple image masking, AvidFlow maps statutory exemptions directly to a relational database. The platform can programmatically generate comprehensive, audit-ready redaction reports and Vaughn Index-style logs to legally defend release records.
  • Procedural Automation & Fee Management. The platform automatically calculates statutory clocks, handles structured "Requests for Clarification" (automatically tolling the clock based on agency policy), and includes an integrated module for fee structures, waivers, and secure gateway payments.
  • Proactive Disclosure with Smart Search. Requesters can utilize a public-facing, natural-language AI Search Assistant within the reading room to query published records, significantly reducing duplicative submissions.
  • Real-Time Analytics. Built-in Power BI dashboards track backlog aging, cycle times, and throughput, allowing leadership to seamlessly generate metrics required for annual DOJ OIP reporting.
