Avid Systems LLC is seeking a detail-oriented and proactive Human Resources (HR) Specialist to support the full lifecycle of HR operations within a fast-paced IT consulting and staff augmentation environment. This role is critical to ensuring compliance with federal contracting requirements, supporting recruiting and staffing operations, maintaining accurate HR records, and partnering with Finance, Accounting, and leadership to support organizational growth.
Key Responsibilities:
HR Operations & Employee Support
- Perform day-to-day HR administrative and operational tasks in support of Avid Systems’ workforce
- Serve as a primary point of contact for internal and external HR-related inquiries
- Coordinate HR meetings, events, and management-employee communications
- Continuously learn and apply HR best practices to improve operational efficiency and employee experience
Recruitment, Staffing & Staff Augmentation Support
- Manage the full staffing lifecycle, including job postings, recruiting, candidate screening, interviewing, hiring, onboarding, and offboarding
- Post job advertisements, vet candidates, assist with interviews, and prepare employment contracts and termination documentation
- Partner with the Staff Augmentation division to generate staffing quotes and support proposal-related staffing needs
- Maintain complete and accurate employee and contractor records related to onboarding and offboarding
Compliance & Immigration
- Ensure compliance with all applicable local, state, and federal employment regulations, including those relevant to government contractors
- Conduct and maintain Form I-9 verification in accordance with federal requirements
- Work with legal counsel on H-1B and Green Card (GC) immigration processes for new and existing employees
Employee Records, Payroll & Benefits
- Compile, maintain, and audit employee records, including PTO, holidays, and leave tracking
- Track HR-related financial items such as benefits deductions, background checks, and payroll documentation
- Support benefits administration, including 401(k), health, and life insurance
- Assist the Accounting Department with payroll processing and documentation of employee compensation
Finance & Accounting Coordination
- Partner with Finance to ensure employee and contractor timesheets are submitted timely for payroll
- Assist Accounting with additional HR-related financial and reporting tasks as needed
- Monitor purchase orders (POs), track remaining hours, and proactively communicate when POs are nearing exhaustion
HR Systems & Reporting
- Produce weekly HR activity reports and dashboards for leadership review
- Serve as the Subject Matter Expert (SME) for Avid Systems’ Human Capital Management (HCM) systems and HR processes
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience)
- Experience supporting HR operations in an IT consulting, government contracting, or staff augmentation environment preferred
- Knowledge of employment laws, HR compliance, and federal contractor requirements
- Experience with HRIS/HCM systems and strong reporting skills
- Familiarity with payroll, benefits administration, and immigration processes
- Strong organizational, communication, and problem-solving skills
- Ability to handle sensitive and confidential information with professionalism and discretion
